LATE NOVEMBER AND LATE APRIL EACH YEAR
Up to $ 500.00 is awarded by the BARPCV Board of Directors to the Grantee(s) at each of the two Welcome Back / Send Off Parties held in early December and May. BARPCV members, current Peace Corps volunteers and others can be awarded funds for development initiatives which help fulfill BARPCV goals!

Applying for a Grant - The Applicant's Role
To receive a grant from the BARPCV Small Grants Program, applicants must:
1. Meet all required small grants program participation criteria:a) Applicant must be a BARPCV member or be sponsored by a member. (Contact us if you need a sponsor.)b) Grant must meet at least 1 of the 4 BARPCV goals (continue to serve our communities, encourage prospective Peace Corps Volunteers, promote world understanding, and support returned Peace Corps Volunteers)
2. Submit a small grant program application to the board. The application must include:
a) Name and contact data of applicant: include telephone number and email address.b) Title, scope, description and location of project (200 words or less).
c) Rationale: Description of value-added benefits for BARPCV to sponsor the initiative. Description of value-added benefits of the grant to the community (200 words or less).
d) Grant proposal outline: objectives, activities, target audience, previous experience, method of evaluation.
e) Timetable for implementation, publicity (e.g., newsletter article), and accountability reports to BARPCV.
f) Project Costs and Source(s) of Revenue.
g) Amount requested must be more than $ 200.00 but less than $ 500.00.
h) Request of BARPCV (explanation of how BARPCV can help).
3. Acknowledge BARPCV as sponsor for all approved grants.
4. Reply to board members email queries about the proposal.
5. Sign a small grants program agreement, accepting certain responsibilities relating to being a recipient of BARPCV funding and branding support. For example:
a) Assure that grant funds go only to the initiative; pledge against fraud.b) Provide accounting and reports to the board; return grant money to BARPCV if criteria for implementing and managing the grant are not met.
c) Grant BARPCV the right to use information about the grant and the grantee in marketing and promotional activities.
7. Report to the BARPCV board per the agreed-upon schedule.

Reviewing a Grant Application - The Board's Role
To review a grant proposal, board members must:
- Read
the proposal prior to the board meeting at which it
will be discussed.
- Seek
further clarification of its contents, if necessary to
evaluate the proposal, by mailing specific questions
to the applicant, with CC to all other board members.
- The
board member sponsoring the proposal must participate
in the discussion, but must abstain from voting. Board
members will cast their votes for one of four
alternatives:
-
a) Approval with no additional
stipulations.
b) Conditional approval, providing stipulations are met.
c) Future reconsideration, after the proposal is amended to address the boards explicit concerns or their need for more information. The president and DRI, at their discretion, may agree to an email reconsideration if the request is time-sensitive. Otherwise it will be rescheduled for a future meeting.
d) Denial of approval.
Note: Board members may apply to the Small Grant Program, but they must exempt themselves from the voting process. Voting will be done by secret ballot.
